1. Introduction

One Room Schoolhouse ("the App," "we," "our," or "us") is a mobile application built for homeschooling families. We help parents plan lessons, track educational progress, grade worksheets, and maintain portfolio records for their children.

We understand that you are trusting us with information about your family — including your children. We take that trust seriously. This Privacy Policy explains what information we collect, why we collect it, how we protect it, and what choices you have.

By creating an account, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the App.

3. Information We Collect

3.3 Information We Do NOT Collect

We want to be equally clear about what we do not collect:

  • We do not collect children's email addresses, phone numbers, or social media accounts.
  • We do not collect precise location data (GPS). We strip location metadata from all photos before storing or processing them.
  • We do not collect contacts, call logs, or browsing history.
  • We do not use cookies for advertising or cross-site tracking.
  • We do not collect biometric data. Biometric authentication (Face ID, fingerprint) is handled entirely by your device's operating system — we never see or store your biometric information.

4. Children's Information — COPPA Notice

This section is particularly important. One Room Schoolhouse stores personal information about children, including their first names, ages, and photos of their educational work. We comply with the Children's Online Privacy Protection Act (COPPA) and are committed to protecting children's privacy.

4.1 How Children's Data is Collected

One Room Schoolhouse is designed for use by parents and guardians — not by children directly. A parent or guardian creates the account and enters information about their children. Children do not create accounts, do not interact with the App independently (unless given access by a parent under the "Student-led" feature), and do not provide information directly to us.

4.2 Parental Consent

By creating an account and adding your children's information, you — as the parent or legal guardian — provide verifiable consent for the collection and use of your children's personal information as described in this Privacy Policy. You confirm that you have the legal authority to provide this consent.

4.3 What Children's Information We Collect

  • First name — used to label and organize per-child educational records within your family's account. We do not collect children's last names.
  • Age — used to generate age-appropriate worksheets and differentiate educational expectations by developmental stage.
  • Optional profile photo — used only as an avatar within your private account. Not shared publicly or with other users.
  • Educational records — subjects, lesson completion, grades, daily log entries, portfolio items. These are created by the parent and belong to the parent.
  • Photos of children's completed schoolwork — photos of worksheets and educational work that parents upload for grading or portfolio purposes. These photos may contain a child's handwriting or a child's first name written on the paper.

4.4 How Children's Information is Used

Children's information is used solely for the following purposes:

  • Displaying per-child educational records within the parent's account
  • Generating age-appropriate worksheets tailored to each child's developmental stage
  • Grading worksheets through AI-powered analysis
  • Building portfolio records and educational reports
  • Generating attendance logs and subject reports for state compliance

Children's information is never used for:

  • Advertising or marketing of any kind
  • Behavioral profiling or targeting
  • Sale to third parties
  • Any purpose unrelated to the educational services described above

4.5 Parental Rights Under COPPA

As a parent or guardian, you have the right to:

  • Review all information we have collected about your children — accessible anytime through the App's Portfolio and Data & Privacy settings.
  • Request deletion of your children's information — you can delete individual children's records or your entire account through the App's settings. You can also contact us directly.
  • Refuse further collection — you can stop using the App at any time. You can also archive a child's profile to prevent further data collection while preserving existing records.
  • Export your data — you can download your children's educational records, portfolio, and attendance logs as PDF documents at any time.

5. How We Use Your Information

We use the information we collect for the following purposes:

6. Artificial Intelligence Services

Transparency about AI: Three features in One Room Schoolhouse use artificial intelligence services provided by third-party companies. When you use these features, certain data is transmitted to these companies for processing. We want you to understand exactly what is sent, to whom, and how it is handled.

6.2 How AI Providers Handle Your Data

We use the API (application programming interface) versions of these AI services — not consumer chatbot products. Under the API terms of service for both providers:

  • Anthropic (Claude API): Data submitted through the API is not used to train Anthropic's AI models. Data is processed and then deleted according to Anthropic's API data retention policy.
  • Google (Gemini API): Data submitted through the paid API tier is not used to train Google's AI models. Data is processed and then deleted according to Google's API data retention policy.

6.3 Protective Measures for AI Processing

Before any photo is transmitted to an AI provider, we take the following steps:

  • Metadata stripping — All EXIF metadata is removed from photos before transmission. This includes GPS coordinates, device information, and timestamps. The AI provider receives only the image pixels, with no embedded location or device data.
  • Name exclusion — We never include a child's name, parent's name, email address, or any other personally identifiable information in our requests to AI providers. Worksheet generation requests include only the child's age.
  • Encrypted transmission — All data sent to AI providers is encrypted in transit using TLS (the same encryption used by banks).
  • No permanent logging — We retain AI request and response logs for a maximum of 7 days for debugging purposes, then permanently delete them.

6.4 Content Visible in Photos

While we strip all hidden metadata and never transmit your child's name through our system, photos of completed worksheets may contain personally identifiable information that is visible within the image itself — such as a child's name handwritten at the top of a worksheet. If this concerns you, we recommend covering or cropping the name area before using the Snap & Grade feature. The use of all AI features is optional.

6.5 Your Choice

The AI-powered features (Snap & Plan, Snap & Grade, and Snap-to-Import) are optional. You can use the App's core features — lesson logging, progress tracking, portfolio management — without ever using an AI feature. If you choose not to use AI features, no data is sent to Anthropic or Google.

7. Who We Share Information With

We do not sell your personal information. We do not sell your children's personal information. We will never sell personal information to anyone, for any reason, under any circumstances.

We share information only with the following categories of service providers, and only to the extent necessary to provide the App's services:

We may also disclose information if required to do so by law, court order, or government request, or if we believe disclosure is necessary to protect the safety of our users or the public.

We will not share your information with:

  • Any company for the purpose of profiling, targeting, or remarketing

8. Data Storage and Security

8.1 Where Your Data is Stored

Your data is stored on Google Cloud servers located in the United States. Database backups are stored in multiple geographic regions within the United States for redundancy. Additional encrypted backups are maintained with a secondary cloud provider to protect against catastrophic data loss.

8.2 How We Protect Your Data

  • Encryption in transit — All data transmitted between your device and our servers is encrypted using TLS 1.3 (Transport Layer Security), the same standard used by banks and financial institutions.
  • Encryption at rest — All data stored on our servers is encrypted using AES-256, the encryption standard used by the U.S. government for classified information.
  • Account isolation — Each family's data is stored in a separate, access-controlled partition. One family's data can never be accessed by another family, even in the event of a software error.
  • Photo security — All photos are stored with time-limited access links that expire and require re-authentication. No photos are publicly accessible via permanent URLs.
  • Redundant backups — Your data is backed up daily. Backups are stored in multiple geographic locations and with multiple cloud providers. We test backup restoration regularly to ensure data can be recovered.
  • Password security — Passwords are hashed (irreversibly scrambled) before storage. Even we cannot see or retrieve your password. We use Firebase Authentication, which implements industry-standard password hashing.

8.3 Breach Notification

In the unlikely event of a data breach that affects your personal information or your children's information, we will notify you within 72 hours of becoming aware of the breach, in compliance with applicable federal and state laws. Notification will include what information was affected, what we are doing to address the breach, and steps you can take to protect yourself.

9. Your Rights and Choices

9.1 Access and Export Your Data

You can access all of your data — including your children's educational records, portfolio items, grades, and attendance logs — at any time through the App. You can export your data as PDF documents or as a complete data download (JSON format) through the Data & Privacy section of the App's settings.

9.2 Correct Your Data

You can edit your account information, your children's profiles, educational records, and any other data at any time through the App.

9.3 Delete Your Data

You can delete individual children's records, individual portfolio items, or your entire account through the App's settings. When you request account deletion:

  • Your subscription is immediately canceled.
  • A 30-day grace period begins, during which you can reverse the deletion by signing back in.
  • After 30 days, all of your data — including your profile, children's information, educational records, photos, and backups — is permanently and irreversibly deleted from all of our systems.

9.4 Notification Preferences

You can control all push notifications through the Notifications section of the App's settings. You can disable all notifications, or selectively enable or disable specific categories (morning reminders, progress celebrations, streak alerts, weekly summaries, and comeback nudges).

9.5 Stop Using AI Features

You can choose not to use Snap & Plan, Snap & Grade, or Snap-to-Import at any time. The core App features do not require AI processing.

9.6 California Residents

If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to deletion, and the right to opt out of the sale of personal information. 9.7 European Residents

If you are located in the European Economic Area (EEA), you may have additional rights under the General Data Protection Regulation (GDPR), including the right to access, rectification, erasure, data portability, and the right to object to processing. Our legal basis for processing your data is your consent (provided when you create an account) and the performance of our contract with you (providing the App's services). The App may contain links to third-party websites or services (for example, links to curriculum publishers or educational resources). We are not responsible for the privacy practices of these third-party sites. We encourage you to read the privacy policies of any third-party services you visit.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make changes, we will:

  • Update the "Last Updated" date at the top of this page.
  • Notify you via email or in-app notification if the changes are significant — particularly any changes that affect how children's information is collected, used, or shared.
  • For material changes to children's data practices, we will request renewed consent before the changes take effect.
